Account Access for Graduated Students

How long do accounts remain active after graduation?

After graduation, we disable student email / MS Office access for security and financial reasons.  (We must free up the Microsoft licenses for reuse by new incoming students.)  Access to Banner is maintained longer to allow retrieval of tax forms for tax filing in the following year.  Note that you cannot create transcripts from Banner after graduation; you must use the online transcript service.

NOTE: email and NetID accounts remain active for medical graduates who become residents immediately following graduation.  Your NetID username will change from your Downstate student ID number to an employee-style format (first initial and last name).

IMPORTANTNetID accounts are automatically disabled if they are inactive (no login to any system for 90 days).  To avoid this issue, log into Banner Self-Service every 2-3 months.

  • Three months after graduation, access ends for:

    • Downstate email

    • Microsoft Office 365 license

  • One year after graduation, access ends for:

    • Banner Self-Service login

    • Brightspace LMS

    • Library online reference databases

 

What if you need an extension?

Starting one month prior to graduation, reminder emails are sent to graduating students.  The emails contain a form link to request an extension. You will be notified two weeks after submission if the request has been approved or denied.  We urge you to plan for switching to an outside email address as you begin applying for jobs after graduation.

Common reasons for an extension include:

  • Actively applying to another degree program at Downstate
  • Did not match for a residency and need to reapply for next year
  • Still completing academic / research activity such as preparing for licensure exam
  • Becoming an employee at Downstate.

Extensions are not granted for:

  • Preference to use Downstate email address for professional work/job applications
  • Communicating with Downstate faculty
