Microsoft 365 Multi-Factor Authentication (MFA): Alternatives to the Microsoft Authenticator app

Note: The following applies to current users of Downstate email who already set up key info when they logged into email for the first time.  For new incoming students or employees, send a help request via email to help@downstate.edu.

To ensure secure logins when off-campus, Downstate requires the use of 2-step multifactor (MFA) authentication to access email, Brightspace, Leo and other systems. Once you enter a username and password, you will be asked to complete a third step. You may already be familiar with one common version: Using a numerical code sent as a text message to your phone number already on record.  Once you receive it, you enter that code into the login page.

Another option is to download and install the Microsoft Authenticator application on your phone.  Once you register it with your Downstate account, you will be able to authenticate faster.  It offers other options such as using a short-lived number generated directly on the app as the MFA code that you enter.

One problem is that old phones running outdated operating systems will not be able to install/use Authenticator. Since Apple / Samsung no longer issue security updates for old phones, this leaves your device vulnerable. Consider updating or replacing your phone. But if that is not an option, here are alternate methods for MFA:

After entering your username, choosing Work / School account and entering the password, choose "I can't use my Microsoft Authenticator right now":

 

On the next screen, choose an method to receive a code:

These rely on information such as your cell phone number that you already entered during your email account setup.
